Project Overview

Greenheart Exchange is a platform for international students to find exchange and internship programs. Their current system was outdated and was cumbersome to use. In addition to using this system, users werre also required to maintain records of communications using different means like email, phone, and chat. This was a major pain point for the users and the team and it also resulted in a lot of manual work and inefficiencies.

Role & Responsibilities

I designed the entire international student exchange and internship product - end to end. Application management and reviews for sending and receiving partners; local contractor and host‑family recruiting and application management; placement matching workflows; and now delivering participant and program management through to departure. Leveraged generative AI to create fully functional prototypes for the SEVIS & change queue process validation. Created a design system to be used across multiple branded products while still using the same component library.

Outcomes

While the project is still in active development, we have already launched the initial versions of the product that have greatly reduced the manual work and inefficiencies. With the application feedback system in place, time taken to review applications has been reduced substantially and time wasted on returning incomplete applications has been eliminated. The team is now able to focus on other important tasks.

Student List Views

The dashboard view is where the Local Coordinators (LCs) would be able to view all students in the system and assess whether a student would be a good fit for any of the Host Families they are managing. I needed to devise a way to inform the LC of the relevant student information right up front, so that less time was spent opening up different student profiles individually. A responsive table with advanced filtering capabilities and the ability to view a consilidated profile view in expanded rows was designed.

Profile Pages

The process of placing a student with a host family was a compkex task put in place due to lagacy systems. A comprehensive yet easy to understand profile page was designed to inform the LC of the student and host family information so they they can veiw and manage the placements from either of the profile views to give them the flexibility they needed. Additionally the ability to add notes to a specific entity was also designed so that the LCs and Greenheart Admins have additional context on each user in the system.

Application Feedback System

One of the biggest pain points for Greenheart Admins and LCs alike was the time taken to review applications. There was a constant back and forth regarding incomplete applications, missing fields and documents, incorrectly filled out forms, etc. In addition to this the communication was haphazard and took place across different channels which led to missing context and confusion. I designed a system where the relevant users could review the applications and provide custom feedback and instruction on a per-field level. If needed, the reviewer could also make the necessary changes without having to involve the applicant in the process. Feedback comments added would then be sent to the relevant users who were able to provide a response in the system itself, eliminating the need for any additional communication through different channels. The implementation of this has greatly reduced the time taken to review applications and has improved the communication between the relevant users.

The student experience was a major focus of the redesign. A comprehensive dashboard was designed to inform the student of the status of their application, where they are in the placement process and the next steps they needed to take so that everything would be in order before they arrive in the US.

Mobile Experience & Forms

Being an extremely complex product, I also needed to provide a way for LCs to complete tasks in the field wtthout access to a laptop or computer. I assessed the tasks performed in the fields and designed a mobile-optimized interface for the same.
